How we handle and protect personal information.
1. Basic Policy
Toranomon HR Co., Ltd. (the Company) regards the protection of personal information as an important responsibility. We comply with Japan’s Act on the Protection of Personal Information and relevant laws and guidelines, and handle personal information appropriately.
2. Information Collected and Purposes of Use
When receiving enquiries or business consultations by email, telephone or other means, we obtain information needed to respond, such as names, company names, contact details and enquiry content, through appropriate means. We use it within the scope needed to answer enquiries, clarify requests, make proposals and estimates, communicate regarding contracts and perform the relevant work. For other purposes, we notify or publish the purpose and act in accordance with applicable law.
3. Information Entrusted to Us
When clients entrust personal information to us for recruitment support, BPO or other contracted work, we handle it only as necessary to perform that work, in accordance with the contract and the client’s instructions. We do not use entrusted information for our own independent purposes.
4. Security Measures
We take necessary and appropriate safeguards suited to the information and work involved to prevent leakage, loss, damage and unauthorized access. These include clear responsibilities, employee guidance and supervision, access controls, and management of documents and equipment. Contact us for details of our safeguards.
5. Third Parties and Outsourcing
Except where permitted by law, we do not provide personal data to third parties without prior consent. When outsourcing handling as necessary to achieve the stated purpose, we select contractors appropriately and provide necessary and appropriate supervision. Transfers to third parties outside Japan are also handled in accordance with applicable law.
6. Requests and Enquiries
For retained personal data over which we have disclosure authority, contact us to request notification of purposes of use, disclosure, correction, addition, deletion, suspension of use, erasure, suspension of third-party provision or disclosure of third-party provision records. After verifying the identity of the individual or authorized representative, we respond in accordance with law. We explain procedures and required documents individually. For information entrusted by a client, we may refer you to that client.
7. Policy Review
We review this policy in response to changes in laws, our business and information handling, and publish any changes on this page.
